Sound familiar
The same question, every week
How many leave days carry over, can I buy extra hours, what is the travel allowance. HR answers by mail, and each answer is a little different from the last.
A contract date slips by
A fixed-term contract of six months or longer needs written notice a month before it ends. Miss it and you owe a month's salary, and the reminder was in one person's calendar.
A new starter's first week depends on who remembers
The laptop is not ready, the buddy is on holiday, nobody told IT. The new colleague spends day one asking around for the Wi-Fi password.
Everyone works from the same company
What changes once Hivemind, our flagship, is the knowledge under every AI tool and agent your team uses.
One handbook, one answer
Leave, expenses and absence rules are written once. Every employee asks their own AI tool and gets the same answer, with the page it came from.
First weeks that are ready
The onboarding plan per role sits in the knowledge base. An agent turns it into a week for each new starter and tells the manager, the buddy and IT what to do.
Deadlines kept
Notice dates, probation ends and reviews reach the right manager in time. The absence protocol spells out the Poortwachter steps, so nobody has to remember week 6 and week 8.
Agents that do the work
Agents like these we build with you. Each has a toolbox: what it may read, what it may change, and what waits for a person.
Contract dates
Every Monday · 08:00
Contract dates, every Monday · 08:00: Reads contract end dates, probation ends and review dates from your HR system, reminds each manager in time, and drafts the notice letters that are due.
3 allowed · 1 waits for a person
New starter week
Two weeks before each start date
New starter week, two weeks before each start date: Turns the onboarding plan for the role into a first week, tells the manager, the buddy and IT what to prepare, and drafts a welcome mail for HR to send.
4 allowed · 1 does not exist for this agent

We set it up with you
Implement
We turn your handbook, CAO, absence protocol and onboarding into pages every AI tool can answer from.
Automate
Contract and review reminders every Monday, and a first week planned for every new starter.
Build
A connector to your HR system, such as AFAS, Nmbrs or Loket, so agents read dates from the source.
Learn
Training for managers: answering team questions with AI, writing a vacancy, and which personal data stays out.
Questions
Do personnel files go into the knowledge base?
No. The knowledge base holds policies, the handbook, roles and the onboarding plan. Personnel files, medical details and salaries stay in your HR system. An agent reads only the dates it needs, through a connector we build with you.
Can employees see each other's information?
They see the policies, the handbook and who does what. HR sections can be confidential to HR, and each AI tool reads with the rights of the person asking. An employee asking about leave gets the rule, never a colleague's file.
We follow a CAO. Does the AI know it?
It knows what you write down. We add the parts of your CAO that come up in daily questions, such as leave, allowances and working hours, next to your own rules. Where your own rules differ, the page says which one counts.
