Sound familiar
The advance lives in forty email threads
The set time is in one thread, the hotel in another, the rider change in a WhatsApp group. The night before the flight you are still looking for the promoter's mobile number.
The promoter didn't read the rider
The tech rider went out with the contract. On the night there are two old CDJs and a booth monitor fed from front of house, and nobody can find the version they agreed to.
When the TM is ill, the run stalls
One person knows which promoter pays on the night, which hotel lost the booking last year and how the artist likes the green room. A stand-in spends the first week calling everyone.
Everyone works from the same company
What changes once Hivemind, our flagship, is the knowledge under every AI tool and agent your team uses.
One page per show
Deal, advance, contacts, travel and set time sit together. Ask Claude or ChatGPT what is left to advance for Friday and get the open items back in one list.
Day sheets in minutes
The day sheet comes from what was agreed in the advance, in your own format, with the pickup times, contacts and set times the artist and crew need.
Settlements that match the deal
The deal memo, the agreed costs and the tax rules for that country sit in one place, so checking a settlement after the show takes minutes instead of a night of email.
Agents that do the work
Agents like these we build with you. Each has a toolbox: what it may read, what it may change, and what waits for a person.
Advance check
Every morning · 21 days before each show
Advance check, every morning · 21 days before each show: Reads every upcoming show, lists what is still missing from the advance in the tour channel and prepares the mail to the promoter for you to approve.
3 allowed · 1 waits for a person · 1 does not exist for this agent
Settlement check
The morning after each show
Settlement check, the morning after each show: Compares the settlement sheet with the deal memo, checks whether the balance has landed and prepares a payment chase to the promoter when it hasn't.
3 allowed · 1 waits for a person · 1 does not exist for this agent

Questions
Does this replace Master Tour or our booking system?
No. Those stay where the bookings and itineraries live. Hivemind holds what sits around them: how each promoter works, the riders, the lessons from last season. If you want confirmed shows to flow in from your booking system, we build that connector for you.
Do passport numbers and guest lists go in?
Keep passport scans and personal details where they are now. The knowledge base holds who travels, what they need and who to call. Your AI can still build the day sheet and the travel plan without anyone's passport number in it.
How much work is it to start in the middle of a season?
We start with the shows on the books for the next three months and the riders you already have. A few calls with the TM and the agent fill in the promoters and the habits. Older seasons can come in later, or never.
